THE OPERATOR WORKFLOW
One instruction. A connected transport workflow.
Customers keep using email. Your operations team keeps control of the job, while GLS connects the instructions, driver actions, delivery evidence and billing history.
The customer emails your job inbox
Your operator inbox forwards the instruction to your operator-specific secure GLS inbox. The forwarding rule is configured and checked during onboarding; customers do not need to change how they send the job.
GLS reads and allocates the instruction
GLS reads the email and attached documents, using OCR for scanned instructions. Recognised work is allocated to the configured Full Load or Groupage service lane. Unrecognised or incomplete instructions remain available for operational review.
The original instruction is retained alongside the extracted job details.
Operations confirm the job
Review collection and delivery locations, load details and commercial information. Confirm the job and allocate the trailer and driver. Spanish and internal EU routes use country-aware locations and euro calculations.
The driver receives the instructions
On submission, GLS emails the driver the job instructions: which trailer to collect, where to load and where to deliver. The email provides links for collection, delivery and POD upload.
Driver actions update the job
The driver confirms collection and delivery using the email links, then uploads a photograph or scan of the delivery note. Status changes and retained POD evidence remain connected to the job. Exceptions stay visible for operations to resolve.
Completed work moves into billing
Eligible completed jobs with clean POD enter the configured billing workflow. Reviewed customer settings, invoice templates and billing checks control automatic document generation and sending.
Spanish invoicing is in validation. A fictional mainland Spanish B2B freight scenario has been tested end to end, including the invoice PDF and emailed POD. Production Spanish fiscal invoicing remains under development.
The audit history stays with the work
Operational actions, approvals and billing events are recorded in the audit trail, with retained source documents and delivery evidence. This supports traceability and review; it does not certify an operator’s regulatory compliance.
